Vendor & Spend Register¶
CFO function — the inventory of every third party we pay (or could be billed by), what it's for, the estimated cost, billing cadence, payment method, and status. Foundational artifact; Ernst (the CFO agent) owns and keeps it current. Spend envelope: $1,000/mo (wired as GCP budget "Partile monthly envelope ($1k)").
Status seeded 2026-06-28 from GCP billing + the Secret Manager vendor signal; public price checks added 2026-06-28 where available; AI / agent platform category added 2026-06-29; the 2026-07-04 director addendum (RunPod, Vultr, FlightAware AeroAPI, Z.ai second track) folded into the category tables 2026-07-04. "Est." = best estimate; exact amounts + payment instrument need each vendor's billing dashboard (a CFO follow-up). Segregation of duties: this register (visibility) is the CFO's; spend execution stays with the CoS/director.

AI / Agent Platforms¶
This is the #1 measurement priority. Partile runs on three AI/agent vendors, and this category is plausibly the largest spend line. Exact figures are UNKNOWN until each platform billing console is read. The CFO records usage and escalates anomalies; the director/CEO executes any subscription, payment, or account changes.

Immediate action items (this inventory surfaced)¶
- 🟠 AI / Agent platforms — measure Anthropic, OpenAI/Codex, and Google/Antigravity first. This is plausibly the largest spend category and is currently unmeasured. A lapsed AI subscription can halt director or executor work.
- 🔴 Apple Developer — confirm the annual renewal date; set 60/30/7 day alerts. A lapse blocks all iOS shipping.
- 🟡 GitHub Actions — confirm June macOS runner minutes/storage and set an alert if iOS build volume rises.
- 🟡 GCP Cloud SQL — review Enterprise edition vs Standard (cost vs need) and confirm month-to-date actuals.
- 🟡 AeroDataBox lesson — do not renew by default; AirLabs restored flight data at $0. Keep the lapse recorded so every future paid/quota provider has a calendar date before it is production-critical.

DEFERRED until incorporation (CEO decision 2026-06-28)¶
The dedicated company billing account + GCP migration + full card consolidation wait until the company is incorporated (real legal entity + company bank account + a company card issued from it). Doing it now would only reshuffle personal accounts and be redone. Incorporation is the trigger. Until then: - GCP stays on the CEO's personal billing account (director-agent is billing.admin; $1k budget set) — fine. - The existing virtual card (£200) is still used for small recurring tools that need a card now (e.g. a future paid flight-data fallback) — that is NOT blocked by incorporation. - CFO visibility (this register, renewal calendar, spend tracking) proceeds regardless.
Open (needs CEO / CFO with dashboard access)¶
- Exact $ per vendor and payment instrument per vendor — needs each billing dashboard. Most are on unconfirmed methods (some likely the CEO's personal cards). Consolidating onto controlled cards is the point of the card-model decision (per-vendor virtual cards recommended).
- AI / Agent platform actuals — Anthropic, OpenAI/Codex, and Google/Antigravity must be measured as one category and split by vendor. June total spend is not reliable until these dashboards are read.
- Exact renewal dates for every
UNKNOWNinrenewal-calendar.md, especially Apple Developer, AI/agent platform subscriptions, GitHub billing cycles, and Cloudflare/Twilio/Sentry plan status. - Dashboard actuals for June 2026 to replace the first spend report's estimates and unknowns.
